1. Introduction

EdLoop ("we," "our," or "us") is committed to protecting the privacy of students, educators, parents, and all users of our platform. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use the EdLoop application at app.edloop.com and our iOS and Android mobile apps.

2. Information We Collect

Account Information

When you create an account, we collect your name, email address, and role (teacher, student, parent, or administrator). If you sign in with Google, we receive your Google profile name and email address.

Educational Data

Teachers may upload student work (images, documents), assignment details, class rosters, and assessment data — including photos of schoolwork captured with a device camera in our mobile apps. Students may submit practice activity responses, and young learners may record short audio clips for read-aloud practice. This data is used solely to provide educational analysis and insights.

Mobile App Data

When you use our mobile apps, we collect a push notification token (to deliver educational notifications such as published feedback) and crash and diagnostic reports. Crash reports contain technical information about the failure only — they do not include personal information or student work.

Usage Data

We collect standard usage data including pages visited, features used, and error reports to improve the platform.

3. How We Use Information

• Provide AI-powered analysis of student work and generate educational insights
• Generate reports for teachers, administrators, and parents
• Deliver personalized practice activities for students
• Improve and maintain the platform
• Communicate with users about their accounts

4. AI Processing

EdLoop uses artificial intelligence (OpenAI, Google Gemini) to analyze student work and generate educational insights. Student work is sent to AI providers solely for analysis purposes. We do not use student data to train AI models. AI providers process data according to their respective data processing agreements.

5. Data Sharing

We do not sell personal information. We share data only with:

• Service providers necessary to operate the platform (cloud hosting, AI analysis, email delivery, crash reporting)
• School administrators and district administrators within the user's organization
• Youth-program staff, limited to participants in their own program
• Parents and guardians, limited to their own children's or participants' data

6. Data Security

We use industry-standard security measures including encrypted connections (HTTPS), secure authentication (Clerk), and access controls based on user roles. Student data is scoped to their school and is not accessible across organizations.

7. Data Retention

Educational data is retained while the school's or program's agreement is active, and deleted within 90 days of the agreement ending or upon a verified deletion request. Backup copies expire within 35 days. Upon request, we will export and/or delete all data associated with a school, program, or user.

8. Children's Privacy (COPPA)

EdLoop is used in educational settings where student accounts are created by school administrators or teachers, not directly by children. We rely on school consent for the collection of student information in accordance with COPPA and FERPA.

9. Your Rights

You have the right to:

• Access your personal data
• Request correction of inaccurate data
• Request deletion of your data
• Export your data in a portable format
